Privacy Policy
Quietell is privacy-first desktop software. We do not receive your audio, video, or transcripts when you use private (on-device) mode.
1. Summary
- Local / Pro private mode: processing stays on your Windows PC. We do not collect your media or transcripts.
- Cloud mode (optional): if you enable it, audio is sent from your device directly to Groq using your own API key, under Groq’s privacy policy. We are not a party to that transfer.
- We collect the minimum data needed to license the app, prevent fraud, and provide support.
2. Data we process
Licensing & activation: license key, hashed machine identifier, app version, OS version, activation and heartbeat timestamps, and IP address (for fraud prevention and rate limiting).
Free trial: machine identifier and trial usage counters so trials cannot be reset by reinstalling.
Crash reports (opt-in, off by default): anonymous error type/stack trace and app version only - never audio, transcripts, or file names.
Purchases: payments are processed by PayPal under their privacy policy - PayPal is a payment processor, not a merchant of record. We (Quietell) are the seller of record and receive your email, billing country, and order/invoice data to issue your license, email your receipt, and meet EU OSS / UK VAT record-keeping obligations. We send license-key and receipt emails via Resend.

3. What we do not do
- We do not sell personal data.
- We do not use your content to train models.
- We do not upload your recordings or transcripts to our servers in private mode.
4. Service providers
We use infrastructure providers to operate the licensing service: PayPal (payments), Resend (license key + receipt email), Fly.io (API hosting), and optional Backblaze B2 (encrypted update files). They process data only to provide those services.
5. Retention
License and activation records are kept while your license is active and for up to 24 months afterward for fraud prevention and accounting. Invoices and VAT records (email, billing country, amounts) are kept for 10 years as required by EU/UK tax law. Crash reports (if enabled): up to 90 days.
6. Your rights
Depending on your location, you may have rights to access, correct, or delete personal data we hold. Contact us at the email above. You may deactivate a device from within the app to free a license seat.
7. Children
Quietell is not directed to children under 16.
8. Changes
We may update this policy; the effective date will change when we do. Material changes will be noted on this page.
